Terms of Use

Effective: May 8, 2026

1. Scope

These Terms of Use govern the use of the "JQuad AI Assistant" (hereinafter "Add-in"), a Microsoft Outlook add-in operated by JQuad OHG (hereinafter "Provider"). By using the add-in, you accept these Terms of Use.

2. Service Description

The add-in provides the following AI-powered features for email processing:

• Email classification: Automatic categorization of incoming emails (e.g., ignore, auto-reply, clarification needed)
• Reply suggestions: AI-generated drafts for email responses
• Summarization: Concise summaries of email content
• Task extraction: Automatic detection and extraction of tasks from emails
• Sentiment analysis: Analysis of tone and urgency of emails
• Chat assistant: Interactive Q&A about email content
• Attachment processing: Analysis and content extraction from email attachments

The provider reserves the right to change, expand or restrict the functionality of the add-in at any time.

3. Requirements for Use

• A valid Microsoft 365 account with Outlook access
• A user account assigned by the provider (authentication via Keycloak)
• A compatible Outlook version (Outlook 2019 or later, Outlook on the web, Outlook for Microsoft 365)

4. Authentication and Access

Using the add-in requires authentication. Sign-in is via Microsoft Azure AD and our identity provider (Keycloak). Access to Microsoft Graph API (emails, calendar, files) is via delegated permissions that the user explicitly approves through the Microsoft OAuth dialog.

5. AI-Generated Content

The content generated by the add-in (reply suggestions, summaries, classifications) is created by artificial intelligence and does not constitute legal, tax or professional advice. The accuracy, completeness and appropriateness of AI-generated content is not guaranteed.

The user is solely responsible for reviewing, approving and sending AI-generated email responses. The provider assumes no liability for damages arising from insufficient review or the unreflective sending of AI-generated content.

6. Data Processing

For details on the processing of personal data, please refer to our Privacy Policy. In particular:

• Email content is processed in real-time on our own servers in Germany
• Email content is not transmitted to external AI services
• Email content is not stored permanently
• The AI models are not trained with the processed email content

7. License to Use

The add-in is made available to the user for the duration of the contractual relationship with the provider. The user receives a non-exclusive, non-transferable right to use the add-in within the scope of these terms.

8. User Obligations

The user undertakes to:

• Keep login credentials confidential and not share them with third parties
• Not use the add-in for unlawful purposes
• Review AI-generated content before sending
• Notify the provider immediately upon becoming aware of security incidents
• Comply with applicable data protection regulations when using the add-in

9. Availability

The provider aims for high availability of the add-in but does not guarantee uninterrupted or error-free use. Scheduled maintenance will be announced in advance where possible. A claim to a specific level of availability exists only if separately agreed.

10. Liability

The provider's liability for damages to the user is limited as follows:

• Intent and gross negligence: Unlimited liability
• Slight negligence: Liability only for breach of an essential contractual obligation (cardinal obligation) and limited to the foreseeable, typically occurring damage
• AI-generated content: No liability for the accuracy and appropriateness of generated suggestions (see Section 5)

Liability for personal injury and under the Product Liability Act remains unaffected.

11. Termination of Use

The user may stop using the add-in at any time by uninstalling it from Outlook. The provider reserves the right to block access in cases of misuse or termination of the contractual relationship.

12. Changes to the Terms of Use

The provider reserves the right to change these Terms of Use. Changes will be communicated to the user by email or via a notice in the add-in. Continued use of the add-in after a change constitutes acceptance of the new terms.

13. Final Provisions

• Applicable law: The law of the Federal Republic of Germany applies, to the exclusion of the UN Convention on Contracts for the International Sale of Goods
• Jurisdiction: Nuremberg, Germany
• Severability clause: If individual provisions of these Terms of Use are or become invalid, the validity of the remaining provisions remains unaffected
